- We process your resumes with AI and then delete everything
- ZIP files and PDFs are deleted immediately after ranking completes
- Ranking results auto-delete after 24 hours — no exceptions
- We don't build candidate profiles or sell your data
- The only third party that touches payment data is Stripe
Who We Are
ResumeRank is a resume screening service operated by Polsia Inc. We help hiring managers rank batches of resumes against a job description using AI. We're reachable at support@resumerank.co.
What We Collect
We collect only what we need to run the service:
- Your email address — so we can send you the ranked results
- Job description text — used as the scoring rubric for the AI
- Resume PDFs (uploaded inside a ZIP file) — processed to extract plain text for AI scoring
- Payment information — handled entirely by Stripe; we never see your card number
We do not collect names beyond what's in the resumes themselves. We do not require account creation. We do not collect demographic data.
How We Process Your Data
When you submit a ranking job:
- We extract plain text from each PDF — text only, no images or metadata
- That text is sent to our AI provider (OpenAI) along with your job description to generate a relevance score and brief summary for each candidate
- Results are stored temporarily so you can view and export them
- No human at ResumeRank reads your resumes
The AI scoring is advisory. It surfaces patterns in the text — it does not make hiring decisions. You remain in control of every decision.
Data Retention
We delete your data aggressively:
- ZIP files and PDFs — deleted from our servers immediately after the ranking job completes (or fails). We do not store the originals.
- Extracted text and AI results — automatically deleted 24 hours after the job completes. A countdown timer on your results page shows exactly when deletion occurs.
- Email address — retained only to associate your results with your session. Not added to any mailing list.
We do not build candidate profiles. We do not retain data between sessions. Once the 24-hour window closes, your data is gone — there is no recovery option.
Third-Party Services
We use a small number of third parties to run the service:
- OpenAI — receives resume text and job description to generate scores. Subject to OpenAI's privacy policy. OpenAI does not use API inputs to train their models by default.
- Stripe — handles payment processing. We never see or store your payment card details. Subject to Stripe's privacy policy.
- Render — our hosting provider. Your data transits and is temporarily stored on their infrastructure.
- Neon — our database provider. Encrypted at rest. Used for temporary job storage during the 24-hour window.
We do not use advertising networks, data brokers, or analytics platforms that track individuals.
Cookies and Tracking
We do not use tracking cookies or cross-site tracking pixels.
We use a single localStorage value to associate your browser session with a ranking job ID — this is purely functional (so results page works after redirect) and contains no personal information.
We may log aggregate, non-identifying metrics (total jobs processed, error rates) for operational purposes. These logs do not contain resume content, email addresses, or candidate data.
Data Security
All data is transmitted over HTTPS/TLS. Data at rest in our database is encrypted. We apply the principle of least privilege — our AI scoring pipeline accesses only the text needed for scoring, nothing more.
Despite reasonable precautions, no system is perfectly secure. We recommend not uploading highly sensitive documents (e.g., resumes with SSNs or bank account details) to any third-party service.
Your Rights
Since we delete all data within 24 hours, most data subject requests are satisfied automatically. If you'd like your data deleted before the 24-hour window, email us at support@resumerank.co with your job ID and we'll delete it immediately.
We're based in the United States. This service is US-focused. We believe our data handling practices align with global best practices (minimal collection, short retention, no profiling), but we do not currently make specific GDPR or CCPA compliance representations.
Children's Privacy
ResumeRank is a professional hiring tool. It is not directed at children under 13. We do not knowingly collect data from children.
Changes to This Policy
If we make material changes to how we handle your data, we'll update the "Last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
